BisTrack Quote and RFQ Automation

Whether quoting in BisTrack can be automated depends on which quote problem you mean, because at an LBM dealer there are three. Vendor configurator quotes (windows, doors, kitchens) already flow into BisTrack through integrations like SaberisConnect. Plan takeoffs are served by dedicated estimating tools. The third problem, contractor RFQs arriving by email, has no documented native intake in BisTrack and still gets keyed into Order Entry by hand.

That third slice is the one worth automating. AI reads the emailed request, matches the lines against your item file, applies the account's pricing, and stages a draft quote for a person to review and send. It is the same matching work an AI order entry system already does.

Quotes in BisTrack

BisTrack treats quotes as their own transaction type. The OrderHeader table carries separate numbering for orders, quotes, call-off orders, reservations, and template orders, so a quote is a sibling of a sales order rather than a flag on one. The import layer respects the distinction: Saberis documents a Sales Type selection on its BisTrack import that decides whether an incoming file becomes a sales order or a quote, which is how vendor-quote integrations land estimates in BisTrack.

For configured products, Epicor CPQ (a separate purchase) embeds in BisTrack and BisTrack Web. An order line with the CPQ Product subtype opens the configurator, and saving the transaction produces a consolidated CPQ quote document. Public documentation of the click-by-click quote-to-order flow is thin, so we won't walk through screens we can't verify. The structural point holds either way: quotes ride the same machinery as orders, and anything that can stage an order in BisTrack can stage a quote.

The two quote problems that are already solved

Plan takeoffs, turning a builder's plans into a material list, are their own discipline with their own tools, and that is where most of the LBM industry's AI investment is going right now: automated takeoff and estimating products, not PO reading. If takeoff speed is your bottleneck, start with those tools.

Vendor quotes are the second solved problem. When your window, door, or kitchen vendors' design systems produce quotes, SaberisConnect converts them into BisTrack sales orders or quotes through the eBusiness path, and it can merge an incoming quote into an existing order. If your special-order desk retypes vendor configurator output today, that integration already exists.

How imports and eBusiness work in BisTrack

The gap: emailed contractor RFQs

A contractor emails a materials list and asks for pricing. Someone at the dealer reads it, finds each item, checks the account's negotiated pricing, and keys a quote into Order Entry. It is order entry with extra judgment, and it is more time-sensitive than order entry, because dealers tell us the first credible quote back has a real edge on winning the job.

BisTrack has no documented native path for this. Epicor's closest product, the BisTrack Order Entry Automation add-on, reads customer POs by OCR against templates set up per account customer. That fits the repeat purchase orders it was built for, not one-off materials lists.

Automating RFQ to quote

The mechanics are shared with AI order entry, which is why we recommend automating orders first and extending to quotes second. The hard part, matching contractor language to your item file and applying that account's pricing, is the same work either way. The AI reads the emailed RFQ, matches the lines, prices them for the account, and stages a draft quote through a path BisTrack already accepts: the eBusiness import layer or the BisTrack API, which lists order and quote push among its documented endpoints. A rep reviews, adjusts, and sends. Nothing goes to a customer without that review.

Off-the-shelf vs custom for a BisTrack shop

The SaaS shortlist is empty right now. None of the order-automation vendors (Conexiom, Endeavor, OrderPier, Esker) publishes a BisTrack integration, and the expanded Epicor-Conexiom partnership announced in July 2026 covers Prophet 21 and Eclipse, not BisTrack. Saberis is the real integration player in this vertical, and it solves vendor quotes, not contractor RFQs. If a vendor pitches you BisTrack support anyway, ask for a reference dealer already live on it.
